on Phone Calls and Trust

😤

Before ServiceFlow Enterprise

  • Distributor stock only known when someone calls to ask
  • Quotations and POs sent over WhatsApp PDFs — no accept/reject trail
  • Dispatch details live in a transporter's memory, not a system
  • No way to trace one unit's serial number past your own warehouse
  • A retailer's customer complaint never reaches you — until it's a Google review
  • Sale returns up the chain handled off-book, no audit trail
VS
⚡

With ServiceFlow Enterprise

  • Every distributor's and retailer's live stock, visible to you always
  • Quotations sent, accepted, and converted into POs — full digital trail
  • Dispatch requires an e-way bill and serial allocation before it's complete
  • Every serial number: factory → distributor → retailer → customer, one timeline
  • Complaints from anywhere in the network roll up to you automatically
  • Sale returns follow a structured accept/reject flow, synced to stock and ledger

Company → Distributor → Retailer,
Built as Real Accounts

Not a spreadsheet of contacts — every Distributor and Retailer gets its own login, its own data, and a clear place in your hierarchy.

🏭 Coolcraft Appliances — Company (root account)

Owns the product catalogue and warehouse stock. Creates Distributor and Retailer accounts from Organisations, sends quotations, dispatches against POs, and sees live stock, orders and complaints across the entire network — automatically, without being added to each org.

Adds Distributors & Retailers Network-wide oversight Can also sell direct to customers

🚚 Khandelwal Distributors — a Distributor

Jaipur · buys from Coolcraft via PO — raised directly, or converted from an accepted quotation. Holds regional stock, resells to Retailers under it, and can raise Sale Returns for damaged stock. Every Distributor you add runs on this same account type.

🏪 Sunrise Appliances — a Retailer

Jaipur · buys from Khandelwal via PO, sells to the end customer, and runs the full standalone retail app underneath — Customers, Orders, Leads, Installations, Complaints, Services, AMC. Every Retailer you add, under any Distributor, works the same way.

Two Ways to Order — Both
End Up as a Trackable PO

① Quotation-led (top-down)

  • Company (or a Distributor) drafts a quotation addressed to a child org, with line items and validity
  • Recipient reviews it and clicks Accept
  • Recipient clicks Convert to PO — a purchase order is created automatically, addressed back up the chain
  • Nothing is re-typed between quotation and PO

② Direct PO (bottom-up)

  • A Distributor or Retailer raises a PO straight to its parent org — no quotation needed
  • Parent reviews and accepts it
  • Same dispatch, e-way bill, and serial-allocation flow follows either way
  • Retailers cannot draft quotations — only accept them — but can always raise a direct PO

Every Hand It Passed Through.

01🏭

Manufactured

Unit enters Company inventory. Status: In Stock, holder is Company.

02🚚

Dispatched to Distributor

PO-2044 dispatched with e-way bill EWB-88213456. Holder flips to Khandelwal Distributors, status At Distributor.

03🏬

Dispatched to Retailer

Khandelwal raises its own PO to Sunrise Appliances. Same dispatch flow, one level down. Status: At Retailer.

04🏠

Sold & Installed

Sunrise sells the unit; installation is logged against this exact serial. Status: Installed.

↩ If it comes back

A defective unit doesn't break the trail — it extends it. Sunrise raises a Sale Return to Khandelwal (type: Defective). Khandelwal accepts it, the holder flips back automatically, and Khandelwal can raise its own return further up to Company (type: Damaged) using the identical accept/reject flow. Every hop — forward or back — sits in the same log.

Problems Don't Get Stuck
at the Retailer

🚨 Complaints, network-wide

  • A retailer logs a complaint against an installed serial number
  • Automatically visible to its Distributor and to Company — no forwarding
  • Every complaint carries the linked product and serial number
  • Parts used, replacement status, and cost tracked per complaint

↩ Sale returns & defectives

  • Retailer flags a unit defective → Sale Return raised to its Distributor
  • Distributor accepts (stock moves back, transfer logged) or rejects it
  • Distributor can raise its own return to Company — damaged, wrong item, or excess
  • Same structured flow, one level up the chain

🛡️ Warranty

  • Every product carries its own warranty and extended-warranty terms
  • Combined with the serial timeline and install date
  • Anyone in the network can tell instantly if a complaint is in or out of cover
  • No digging through paper invoices to check

Not a Stripped-Down App —
the Same One, Plus a Parent

A Retailer added under a Distributor runs the identical software as our standalone dealers, with two changes.

Everything retailers already get

  • Customers & Leads
  • Orders & Digital Challans
  • Installations & Technician assignment
  • Complaints with SLA timers
  • Service jobs & AMC
  • Products, Inventory, Ledger

What changes under a network

  • Standalone Vendors screen is replaced by Purchase Orders to their Distributor
  • Sale Returns route up the chain instead of to an independent vendor
  • Stock arrives via network dispatch, already serial-tracked
  • Nothing else is hidden or disabled
